Estimate settings

In "Estimate Settings" you can -

Setting the default template for estimates:

To set the default template for estimates, do the following -

  • Click on the "Settings" link at the top right corner.
  • Click on the "Templates" link under the "Estimate Settings" on the left side.
  • Now on the right side select the tab based on what you sell.
  • Select one of the predefined templates, as the default template for your estimates.
  • If the default templates does not satisfy your requirements, click on the "Custom Template" tab and create your own template by clicking on the "Add Template" button.

Now after setting the default template for estimates, the next step is to set the preferences for estimate generation. To set your preferences, click on the "Preferences" link under the "Estimate Settings" and configure the following -

Estimate Number Generation:

Field Name Description Additional Details
Auto Generate Estimate Number Whether or not to generate the estimate number automatically. If the option is selected, estimate number will be generated automatically or else it has to be specified manually while generating estimates. For further details, refer the example given below.
Auto generation of estimate number
Prefix The prefix string to be used for estimate numbers.

This is applicable only when the automatic generation of estimate number is enabled.

If auto generation is true and nothing is specified for “Prefix”, then it will default to an empty string - "".

Start At The starting number for the estimate number.

This is applicable only when the automatic generation of estimate number is enabled.

If auto generation is true and nothing is specified for “Starts At”, then it will default to numeral one – “1”.

Notes & Terms:

Field Name Description
Notes The default customer message that you want to include in your estimates.
Terms & Conditions The default terms and conditions that you want to include in your estimates.

Estimate Number Example:

Auto Generate Status Prefix String Starts At Resulting Estimate Number
False Not Applicable Not Applicable User has to manually feed in the estimate number during estimate addition.
True Not given Not given The first estimate generated will have the estimate number as "1" and it will increment for the subsequent estimates.
True Not given 1 This again will be same as above. The first estimate generated will have the estimate number as "1" and it will increment for the subsequent estimates.
True EST- Not given The first estimate generated will have the estimate number as "EST-1", the second will have it as "EST-2" and so on.
True EST- 1 This again will be same as above. The first estimate generated will have the estimate number as "EST-1", the second will have it as "EST-2" and so on.

Is it possible to add a custom logo to the esitmate?

Yes, it is possible. We will be re-using the logo specified for the invoices. To specify the logo for the invoices refer -

Is it possible to change the heading of the estimates (pdf version) to say "Quote" instead of "Estimate"?

Hi David Silsby,

Yes, you can achieve this using custom templates. You can change the fields as you like.

You can get this done by following the instructions below -

1. Log into Zoho Invoice
2. Click on the "Settings" link at the top right corner.
3. Click on the "Templates" under the "Invoice Settings" on the left
4. Select the "Custom Template" tab
5. Click on the "Add Template" link to create a new custom template.
6. If you have created your custom template already, Click on the pencil icon on the thumb nail image of the custom template.
7.Now click on the editor area, select the complete source (CTRL a) and copy it (CTRL c).
9. In the custom template editor that comes up, Just edit the text as per your need.
11. After editing save it by clicking the save button.
12. Generate a test PDF and Conform the changes.
