Invoicing Customers

Once you add an invoice, it gets saved as draft in the system. You have the following options to send it to your customers -

  • While adding an invoice, you can use the "Save & Send" option. Using this option will e-mail the invoice in PDF format to the customer. This will also change the status of the invoice to open.
  • To send an invoice that has been saved as draft, go to the details page of that invoice and click on the "Send" icon at the top of the page.
  • You can also print the invoice to mail (snail mail) it directly to the customer. To print an invoice, go to the details page of that invoice and click on the "Print" icon at the top of the page.

You also have the option to CC yourself on all customer communications. Just check the checkbox on the left side of the dialog that appears upon clicking the send icon.

    If I choose to print and snail mail the invoice directly to customer, is there a way to set the status of the invoice to 'Open'?

    Hello Ashok,

    Yes you can set the status of a invoice to 'Open' manually.

    Below are the steps to be followed:

    1. Click on the "Invoices" tab.
    2. Select the invoice for which the status is to be changed by clicking on the check box.
    3. Now click on the "Convert to open" button in the list view next to "Delete" button.

    Hello,

    When I click the 'save and send' button, is there a way to make sure that the invoice only goes to my contact at the company that handles invoices?

    I have imported clients from ZohoCRM and there are multiple contacts per client, but only one contact should receive the invoice (it would be bad if the whole team got a copy of the invoice).

    Hello Andrew,

    When you click on "Save & Send" button, the invoice will be saved and you will be taken to the "Send invoice' page where you can check the mail ids, subject, content of the mail. In the "send invoice" page , you have to click the "send" button to send the invoice.

    If a client has multiple contacts, all the contacts will be shown in the "To" field, you can edit them in the "send invoice" page.

    If I click "save and send" on an invoice that is dated in the future (so maybe I was creating an invoice to be sent next week)-- will the invoice be sent immediately or must I remember to log in on the day that the invoice should be sent and send it manually? Or will it be queued to email out on the day it is scheduled for?

    Hi,

    Once you click on "Send", the invoice will be sent immediately to the recipients. As of now we do not support the option to schedule an invoice to be sent at a later date.
